Microsoft announced that user licenses that have been assigned to teams meeting devices will need to be replaced by a Teams Rooms Basic or Team Rooms Pro license prior to the 30th of September 2023. If no action is taken, Teams Rooms devices including Surface Hub and Teams panels will be blocked from signing in until a Teams Rooms license has been assigned.

What is the potential impact?

Rooms that contain VC equipment utilising Teams will go offline if they are not assigned a Teams Rooms Basic or Teams Rooms Pro license prior to the 30th of September 2023.

What is the license type that is impacted?

As there is more than one license type that can be assigned to VCs to enable Teams, we have outlined the 2 main scenarios below.

Scenario 1 – User licenses applied to meeting devices

User licenses that have been assigned to teams meeting devices need to be replaced by a Teams Rooms Basic or Teams Rooms Pro license prior to 30th September 2023. Meeting devices that have a user license after 30th September 2023 will be blocked from signing in until a Teams Rooms license is assigned.

Action: If you have a user license (e.g., E3, E5) assigned to a meeting room, contact Brennan to procure a Teams Rooms Pro or Teams Rooms Basic license. This will need to be applied to the meeting device prior to 30th September 2023.

Scenario 2 – Legacy teams rooms licenses are being retired

If your organisation has meeting devices that use the Teams Rooms Standard or Teams Rooms Premium legacy licenses, you can continue using those licenses until their expiration date. Upon expiration of a legacy license, you’ll need to purchase a new Teams Rooms Pro or Teams Rooms Basic license.

Action: Your Brennan software specialist will provide a quote for the replacement license. This will need to be procured and applied to the meeting device upon expiration of the existing legacy license.

Does applying the Teams Rooms license cause any outages?

Depending on device type the time varies from when the new license is applied to the device. This can happen quickly, or it has been known to take up to 24 hours. Once the licence is applied, the VC device typically requires a reboot.

Our team is available to help you review your existing licensing to determine if you will need to procure a Teams Rooms Basic or Pro license prior to the 30th of September 2023, or to identify the expiry dates of any legacy licensing to ensure a smooth transition.
